IT Onboarding Guide for new Staff

 

Welcome to PRA. This guide is designed to help you get started with our IT systems, laptop, access of school systems, security best practices and support.

 

Hardware:

PRA is an Apple MAC-centric (Is that a word) school, for all teachers and staff. We supply MAC Air Laptops with the latest OS and Applications.

·      Teachers will receive a Mac Air book, charger and a Thunderbolt2 (USB-C) adapter. In each classroom, there is an overhead projector, Apple TV and Audio Enhancement speaker device. Remote controls, microphones and any additional wires or cables should be the classroom.

·      Staff that are required to use a laptop will be issued a Mac Air Book, charger. For certain roles or if you have an office space. Monitors, docking stations, desk phones and any additional cabling will be provided. Some offices have Projectors or an Apple TV, like the classrooms.

·      PRA wireless networks (SSID’s) that are accessible. Currently.

Name:

Prospect_T (Staff Network) Mac’s automatically connect.

Prospect_S (Student Network) Chromebooks K-8 automatically connect.

Prospect_Guest (Guest Network) password required. Currently.

 

Software: All cloud applications use SSO (Single-Sign on Credentials to login)

Operating System:

macOS Sonoma 14.5 is the latest version.

School Software:

PRA utilizes very few software applications that are installed directly to your device. We use cloud applications that are accessible via a Chrome web browser.

1.        Login is your Adams12 staff login, provided by Adams 12.

2.        This site requires MFA (Multi-Factor Authentication)/ 2SV, which will prompt you to use an authenticator app on your phone. Which will generate a six-digit code that you enter.

3.        The Dashboard allows you to access the Staff Login for IC.

Phones:

1.        Your phone extension is the same number as your classroom or office.

2.        VM’s (Voice mail/messages) left on your extension are sent to your email address as an audio file that you can listen to. Or you can hear VM’s from the handset of your phone using the default PW 1234, if you have not changed it.

 

 

 

 

 

 

 

 

Printers:

 Select the Printer Logic Icon from the Top Left bar:

 

Select the Add Printer selection from the drop-down menu:

 

Select the Preferred building:

 

Select the Desired Printer. Click on the Printer symbol once. It will take a moment for the install dialog box to open: 

 

Select yes and the process will finish. This is the place for you to select your preferred Default printer:

 

Confirmation of Successful Installation:

 

Using the normal printing process. Select the Destination:

 

Select “See More”:

IF the printers do not appear on the first try then Cancel and re-open the Printer Selection screen

 

Select the Printer from the List. Use the New Name from the Printer Logic Selection page:

 

PRA Security Best Practices

 

All PRA’s devices, that are connected to the school network are managed by an MDM (Mobile Device Management) called Moysle Manager.

·      Apple-specific Web Filtering and security, Chrome.

·      Automated deployment for iOS, iPadOS and macOS.

 

Password Management:

 

·      Create strong passwords, mix of uppercase, lowercase, numbers and special characters. Avoid using guessable information (birthdays, names SSN )

·      Use a password manager, like https://passwords.google.com

·      Recognize Phishing Attempts, if you suspect an attempt; report it to the IT department immediately helpdesk@prak12.org

·      Be vigilant, do not click on suspicious links or open unexpected attachments. Verify the sender’s email address before responding to any request for sensitive information.

 

IT SOP for User Password Change

 

To prevent loss of data, please read through all the steps listed at least once. Reread through them as you complete the process of resetting your password. If you do not understand a step, please reach out to IT at ext. 3001.

 

If you have not already changed your Google password, you can do so easily by following the steps below.



  1. Sign in to your browser and go to myaccount.google.com/security
  2. Click on Password this will take you to a screen where you can set a new password.

 

Once you have completed the above steps or reset your password, you can proceed to the next steps.

 

***Before continuing this procedure, ensure that you know your old password and new password***



1.        In the top right corner of your screen, there should be a Mosyle icon with the option to “Sync local password with Google”, open that. If the icon does not appear skip to Step 5, otherwise continue.


                              

 

2.        Sign in with your Google account using your new password.

 

3.        Once you have completed the Google sign-in, the next page should appear asking you to enter your current local password (see picture 3). Enter your old password, the one you use to get into your computer.

 

4.        If you have completed the above steps, restart your computer and log in. If you have any issues, please contact IT.

 

 

5.        If the Mosyle password sync button did not appear for you and you have already reset your password in Google, restart your computer.

6.        Once restarted, you should have a screen like the following image


                        

 

7.        Sign in with Google, you will need to use your new Google password for the Google login.

8.        After using the Google login, you should get a page that looks like the picture below. Enter your old password.

 

After this, you should log out and log back in again to ensure the password update worked as expected.
